A hardware schedule for architects is where a scheme’s visual intent meets the everyday reality of doors opening, locking, closing and lasting. A beautifully detailed door can still feel wrong if the lever is poorly proportioned, the closer is visible where it should be concealed, or the finish changes from one floor to the next. More seriously, an incomplete schedule can create delays, substitutions and performance issues once the project reaches site.

For architectural and interior teams, the schedule is not a final purchasing list. It is a coordination document that gives every opening, cabinet and specialist hardware application a clear, buildable identity. Done well, it protects the design, supports compliance and gives contractors a reliable route to procurement and installation.

What a hardware schedule for architects must achieve

At its simplest, a schedule identifies the hardware required for each door set. In practice, it needs to resolve a much wider set of decisions: how a door is used, who uses it, what it needs to withstand and how it should look within the wider scheme.

A hotel bedroom door, for example, may require a lockcase, cylinder, privacy function, door viewer, hinges, closer, intumescent protection and electronic access-control preparation. A meeting room may instead need acoustic performance, a hold-open solution and a lever set that matches the public areas. The products may share a finish, but they cannot be specified as though their functions are identical.

The best schedules bring together architectural drawings, door-set information, fire and acoustic requirements, access strategy, interior finishes and operational needs. They also distinguish between items that look similar but perform very differently. A passage latch is not a bathroom lock; a domestic hinge is not automatically suitable for a heavy commercial door; and a beautiful pull handle does not remove the need to resolve how the door is latched, locked or controlled.

This is why ironmongery should be considered early. Leaving it until tender stage often narrows the available choices, particularly where lead times, fire-door evidence, bespoke finishes or electronic access systems are involved.

Start with the opening, not the product

The most reliable approach is to assess each opening before selecting a handle or finish. Begin with a current door schedule and check that every opening has a unique reference, location, leaf configuration, size, material, rating and handing. This reference should be consistent across architectural drawings, door-set schedules, access-control drawings and the ironmongery schedule.

Function comes next. Ask who will use the opening, how frequently it will be used and what should happen in an emergency. Consider whether the door needs to latch, lock, self-close, stay open, restrict access, release on alarm or achieve privacy. These questions determine the hardware family long before a particular design is chosen.

The physical door construction matters just as much. Leaf weight, thickness, edge detail, frame material and wall build-up all affect the hinge, closer, lockcase and fixing method. A pivoting entrance door has a different set of technical demands from a lightweight flush internal door. Likewise, sliding systems require early coordination of structural support, head detail, track concealment and clear opening dimensions.

Where fire resistance, smoke control or acoustic separation are required, schedule the complete compatible assembly rather than treating each component in isolation. Hardware, seals, door leaf, frame and installation details must work together. Product certification alone is not a substitute for verifying the proposed door-set arrangement.

The information each schedule line needs

A clear hardware set should allow a contractor, door manufacturer and installer to understand what is required without interpreting vague descriptions. Product codes are useful, but they should sit alongside plain-language information about purpose, finish and location.

For each opening type, record the door reference, room or location, door configuration, handing and hardware set reference. The hardware set should identify the required items, quantities and any essential notes on preparation or fitting. Depending on the project, this commonly includes:

  • lever furniture, pull handles, locks, latches, cylinders and privacy indicators
  • hinges, pivots, sliding gear, closers, floor springs and door stops
  • intumescent kits, drop seals, perimeter seals and threshold details
  • panic or emergency escape hardware, access-control interfaces and door monitoring
  • finish, manufacturer, product reference, fixing requirements and applicable performance evidence

Quantities deserve close attention. Pair-and-a-half hinges, for instance, may be appropriate on heavier or taller leaves, but the choice depends on the door weight, width, usage and hinge rating. Door closers should be selected for the opening force and closing control required, not merely because they fit the visual preference. On accessible routes, the balance between closing force, fire performance and ease of operation requires particular care.

A schedule should also identify what is excluded or by others. This is especially valuable for access control, cabling, automatic doors, door manufacture and specialist glazing. Clear responsibility at this stage prevents the familiar site question: who was meant to provide the cable loop, cylinder preparation or power transfer?

Coordinate the design language across the scheme

Hardware is one of the few details occupants touch every day. Its form, weight and finish influence how a room feels before any furniture is considered. Yet consistency does not mean using one handle everywhere without regard for use.

Establish a finish palette that relates to the wider interior specification. Satin stainless steel may suit high-traffic communal areas, while bronze, dark metal or polished nickel can give residential, hospitality and workplace interiors a more considered character. Finishes should be reviewed under the project lighting, alongside joinery samples, sanitaryware, switches and sockets. A finish that works on a small sample may read very differently across multiple doors or against warm timber veneer.

Then define where variation is purposeful. A main entrance may call for a substantial pull handle and concealed closing arrangement. Internal doors may use coordinated lever furniture. Bathrooms need a privacy solution, while utility and plant spaces may prioritise durability and access control. The common thread should be a coherent design language, not forced uniformity.

Cabinet hardware, window fittings and washroom accessories should also be considered alongside door ironmongery. They need not match exactly, but competing finishes and proportions can make an otherwise carefully designed interior feel unresolved.

Avoid the late-stage problems that cost time

Most hardware issues are foreseeable. One common problem is scheduling products before the final door construction is known. Another is selecting a desirable design without checking its suitability for a fire-rated, high-use or external application. Bespoke finishes can create a further risk when samples are approved late or components from different ranges do not age in the same way.

Coordination meetings at key design stages are more effective than a last-minute review. At concept stage, agree the intended design direction and major door functions. During developed design, resolve door types, ratings, access control and the principal hardware families. Before procurement, verify final finishes, quantities, lead times, handing, door preparation and interfaces with the door supplier.

Mock-ups are particularly worthwhile for prominent entrance doors, hotel rooms, high-end residences and any setting with concealed or unusual hardware. Seeing the handle height, lock position, closer arrangement and finish in place exposes issues that a schedule line cannot always show.

Substitutions should be managed with the same discipline. A replacement item may appear equivalent because it shares a finish or basic function, but its dimensions, certification, handing or fixing positions may not be compatible. Treat substitutions as a technical and design review, not a purchasing shortcut.

Make procurement easier without diluting the specification

A complete schedule gives contractors a basis for accurate pricing and reduces the temptation to make assumptions. It can also be arranged into practical procurement packages: door hardware, sliding and pivot systems, cabinet fittings, washroom accessories, entrance hardware and electronic interfaces. This helps the team see which elements have different lead times or require specialist installation.

However, a schedule should not become so product-specific too early that it prevents sensible value engineering. Where the design permits, identify the critical qualities that must be retained: function, material, finish, performance, dimensions and visual character. This creates room to assess alternatives properly while protecting the details that define the scheme.

Treat the schedule as a live project document

A hardware schedule is most useful when it is updated as the project develops. Revision dates, drawing references, approved samples and decision notes should be recorded clearly. If a door type changes, revisit the hardware set rather than carrying it forward by default. If access control moves from card readers to mobile credentials, review the locks, power and monitoring requirements before installation is underway.

The final schedule should give the site team clarity, but its real value begins earlier: it gives the design team confidence that the small details will work as carefully as the large ones. When each opening has been considered on its own terms and as part of a coherent whole, hardware stops being an afterthought and becomes part of the architecture people notice with every touch.
